Our client is a Canadian wealth management firm that works with a large network of independent financial advisors. As part of a firm-wide compliance initiative, they're rolling out a new email auditing and archiving solution across that network, which requires migrating a number of advisor email domains to supported platforms ahead of a fixed compliance deadline.
They're looking for an Email Migration Specialist with 4+ years of hands-on experience administering business email platforms and supporting end users. Advisors come from a wide range of starting points, and the destination isn't fixed, some will move to Microsoft 365, others to Google Workspace, depending on what fits their practice. You'll assess how each advisor's email is currently set up, move them onto whichever supported platform makes sense, and configure the mail flow and journaling rules the compliance solution depends on. Expect to spend your day in admin consoles, in DNS records, and on calls with the advisors themselves.
This is a 5-month contract engagement. It's fully remote and open to candidates located anywhere in Canada.
Responsibilities:
Discovery & Assessment
- Run discovery calls with independent advisors to document their current email platform, domain ownership, DNS configuration, and mailbox setup.
- Identify what's blocking each domain from meeting the compliance requirement, and recommend the right destination platform and migration path for that advisor.
- Explain the gap and the options in plain, non-technical language so advisors understand what's changing and why.
- Migrate advisor domains and mailboxes onto Microsoft 365 or Google Workspace, preserving mail, calendars, and contacts through the cutover.
- Configure domain verification, DNS and MX records, mail flow, and the journaling and archiving rules the compliance solution requires on whichever platform the advisor lands on.
- Validate each migration post-cutover: mail delivery, mailbox access across desktop and mobile, calendar and contact sync, and journaling output.
- Troubleshoot domain, DNS, authentication, and mailbox configuration issues as they surface, and see them through to resolution.
- Track migration status across all advisor domains and flag at-risk or resistant accounts early.
- Escalate non-responsive or non-compliant advisors according to the client's escalation process.
- Manage overall volume so no account slips through the deadline.
- 4+ years of hands-on business email administration or IT support experience. Focus on email configuration.
- Strong working knowledge of Microsoft 365 and Google Workspace administration: mailbox setup and permissions, domain verification, MX and DNS records, and journaling/mail flow or content compliance rules. Deep experience with one and solid working experience with the other is fine; you'll be working across both.
- Demonstrated experience with email migrations: moving mailboxes or domains between providers, and validating them afterward.
- Strong DNS troubleshooting skills, including MX, SPF, DKIM, and DMARC records.
- Experience with identity and access administration (Entra ID, Google Admin, or equivalent), including user provisioning, licensing, and MFA setup.
- Experience with structured rollout, onboarding, or migration project work, including status tracking and escalation.
- Familiarity with Global Relay or a similar email archiving and compliance platform.
- Experience in financial services or another regulated industry where recordkeeping and compliance matter.
- Experience migrating off smaller or legacy hosts: cPanel, GoDaddy, IMAP-only providers, or on-prem Exchange.
- Exposure to email security and diagnostic tooling on either platform (message trace, Google Admin log search, audit logs), useful for diagnosing mail flow problems.
- Comfort with ticketing or tracker tools (ServiceNow, Jira Service Management, or similar) for status reporting across a large account list.
- Relevant certifications on either platform (e.g. Microsoft MS-102 or SC-300, Google Workspace Administrator).
